Privacy policy

What this website collects, what happens to it, and how to have it deleted.

The short version

  • We collect information in exactly two places: the tryout request form and the contact form. Both are things you choose to fill in.
  • What you send goes to the club's email inbox. The website does not save it to a database.
  • This site sets no cookies, runs no analytics, and carries no advertising or tracking of any kind.
  • We never sell or rent personal information, and we never share it for advertising.
  • Want what you sent deleted? Email us and we'll delete it.

Who this covers

The organization responsible for the information described here is Alaska Quakes, a nonprofit organization based in Anchorage, Alaska, which runs the program and this website as Alaska Quakes Baseball.

This policy covers the Alaska Quakes Baseball website and the two forms on it. It is written for families in Anchorage, Alaska, which is who the club serves.

It does not cover other organizations' websites, even when we link to them. League registration happens on Far North Youth Sports' site, our schedule is published by GameChanger, and any team store or payment page is run by a separate company. Once you follow one of those links, you are covered by that organization's privacy policy, not ours.

What we collect

If you fill in the tryout request form, we receive:

  • The player's name and age group
  • Their position or positions, and their current team or league, if you tell us
  • Your name as parent or guardian, your email address, and your phone number if you give one
  • Anything you write in the notes box

If you fill in the contact form, we receive:

  • Your name and email address
  • The topic you picked
  • Your message

Separately, the company that hosts this website keeps standard server logs of requests made to it, which include IP addresses, browser type, and the time of the request. These are created automatically by the hosting service for security and reliability, are not used to build any profile of you, and are not linked to anything you submit through a form.

What we do not do

This matters as much as what we do collect, so it is stated plainly:

  • No analytics. There is no Google Analytics, no tag manager, and no equivalent anywhere on this site.
  • No advertising, no advertising pixels, no remarketing, and no social media trackers.
  • No profiling, no automated decision-making, and no attempt to work out who you are across other websites.
  • No selling, renting, or sharing of personal information for anyone else's marketing, ever. There is nothing to opt out of because we do not do it.
  • No account to create, and no password to store.
  • No typing is captured as you go. Nothing you enter into a form reaches us unless you press the button to send it.

What we do with it

We use what you send to reply to you and to arrange the thing you got in touch about — a tryout, a sponsorship, a question about the program. That is the entire purpose.

We do not add you to a mailing list from a form submission, and we do not use what you send for anything you did not get in touch about.

Where it goes

When you submit a form, the website emails it to the club and keeps no copy of its own. There is no database of tryout requests or messages behind this site. That is a deliberate choice: a tryout request contains a child's name and age, and the fewer places it exists, the better.

A handful of companies are involved in making that happen. Each one only handles what it needs to:

  • Our website host serves the pages and keeps the server logs described above.
  • Our email delivery service takes the message from the website and delivers it to the club's inbox. It handles the contents of your submission in the course of delivering it.
  • Cloudflare provides the spam check on both forms (see the cookies section below).
  • The club's email provider holds the message once it arrives, in the same way it holds any other email the club receives.

We do not give your information to anyone else. We would only disclose it if the law required it, or if it were genuinely necessary to protect someone's safety.

Children's information

This is a youth baseball club, so the tryout form asks for a child's name and age group. We take that seriously.

The forms on this site are meant to be filled in by a parent or guardian, not by a child. The tryout form asks for the parent or guardian's name and contact details precisely because the parent or guardian is who we expect to be writing to us and who we will reply to.

We ask for the least we need: a first name and an age group is enough to talk to you about a tryout. Please do not send us more about your child than the form asks for.

If you believe a child has sent us information without a parent or guardian's involvement, email us and we will delete it.

How long we keep it

Because submissions arrive as email, they stay in the club's inbox for as long as the club keeps that email — the same as any other message someone sends us. We keep tryout requests for the season they relate to and the following one, so we can get back in touch when the next season comes around, and then we delete them.

You do not have to wait for that. Ask us to delete what you sent and we will.

Your choices

Email us at coachbilly@alaskaquakes.com and we will:

  • Tell you what we hold about you or your player
  • Correct anything that is wrong
  • Delete what you sent us

We will not make you create an account or jump through hoops to ask, and asking costs nothing. We may need to check you are who you say you are before we hand over or delete anything, which for a club this size usually just means replying from the address you originally wrote from.

Depending on where you live you may have additional rights under laws such as the California Consumer Privacy Act or the GDPR. We would rather simply honor the requests above for everyone who asks than argue about which law applies. If you are in the EU or UK and need something specific, say so in your email.

Cookies and anything stored on your device

This site sets no cookies. Not for analytics, not for advertising, not for measurement. We checked this in a browser across every page rather than assuming it.

The fonts are served from this website rather than from Google, so visiting a page does not tell Google anything about you.

There are two exceptions, and both are narrow:

  • The spam check. The tryout form and the contact form use Cloudflare Turnstile to tell people from bots. It loads only on those two pages, and the form cannot be submitted without it — it is what stops the club's inbox filling with junk. Cloudflare states that Turnstile is not used for cross-site tracking or advertising. We treat it as strictly necessary and do not ask for consent for it, because without it the form does not work at all.
  • Your cookie choice. On your first visit we ask whether you are happy for us to load content from another company, and we store your answer on your device so we do not have to keep asking. That answer is the only thing this site ever stores, nothing is stored until you answer, and it never leaves your browser.

We ask up front rather than waiting until there is something to load, so your answer is already on record. Today there is nothing on this site to apply it to. If the club later switches on the live schedule, which is published by GameChanger, that embed will not load unless you have said yes — you will see a placeholder with a button instead. If you said no, it stays off. You can change your answer at any time from the link in the footer of every page.

Keeping it safe

The site is served over an encrypted connection. Form submissions are not stored in a database on this site, which removes the most obvious thing anyone could try to break into. Both forms are protected against automated abuse.

No website can promise perfect security, and we are not going to pretend otherwise. What we can say is that we hold as little as possible, in as few places as possible, for as little time as we can.

Changes to this policy

If we change what the site collects or who it goes to, we will update this page and change the date at the top. Every version of this page is kept in the website's revision history, so what it said on a given day is a matter of record.
